Minutes of December 10, 2014 FOCPL Annual Meeting, submitted by Lori-Anne Shapiro

Present: Tommy McNeill, Lori-Anne Shapiro, Tori Williams-Reid, Bill Barrows Absent: Mark Smith, Marcia Cameron Ex Officio: Lucinda Munger, Andrea Tullos Candidates for 2015 Board present: Robin Crawford, Kathy Key, Shannon Turlington Friends present: Janet Flowers, Edward Hailey, Jane Gaede, Janie Trumbull, Jack Ramsey

Call to Order: 6:12pm Review of Agenda: no changes Minutes for Nov 12, 2014: Motion to approve as written by Tommy, seconded by Tori, passed unanimously.

President’s Welcome: Tommy introduced himself to Friends in attendance and asked other Board Members to do the same.

Recognition of Past President, Janet Flowers: Tommy and Lori presented statement about Janet’s past accomplishments, including help with transition for this Board. A $100. Weaver Street Market gift card with 5% donation to an Orange County School was presented to Janet.

President’s Presentation “Year in Review”: Tommy presented description Board’s accomplishments for 2014 as listed in Agenda. The three greatest highlights were: (1) an outstanding quarterly newsletter by outgoing committee members, Sara Levenson, Chris Holaday, and Josh Walker; (2) Marcia’s launching book consignment sales as an additional fundraising venue, raising &10,000. in total for all 2014 book sales; and (3) the successful collaboration of three Friends of Libraries groups co-sponsoring the Maya Angelou event.

Director’s Report, Lucinda Munger reviewed the year’s accomplishments and appreciated the Friends for their participation in and support of the Library. She referred to the Strategic Report November Update as the guiding document for her presentation; this document was on display for the Meeting.

Pavers Report, Andrea Tullos reported that the Friends have had three paver fundraisers with specific start and end times for each campaign. The first sale in 2009 raised about $26,000, second around $12,000, and this last in 2014 with 57 pavers, around $5800. She states OCPL could support an on-going paver sale with a minimum of 75 or 100 pavers per order.

Treasurer’s Report, by Tori Williams-Reid: Tori reviewed the November Financial Report and 2014 Financial Summary Statement as provided in advance by Mark Smith. Tori also did an excellent job in articulating the reasons for lost revenue from memberships that resulted from operational deficiencies that she has recently rectified and will continue to be corrected with the installment of a Membership Chair on the 2015 Board.

Semi-Annual Book Sales Report, Bill Barrows described two successful book sales with significant help from outgoing Board Members Chris Holaday and Laura Simmons, and other volunteers. Lori-Anne is looking forward to coordinating a way to streamline the process for those books that are left over after the sales while also making a contribution to clients served by our local county agencies.

Bylaws: no changes

Next Semi-Annual Book Sale: date set for April 24, 25, and 26

New Newsletter Committee: Shannon Turlington will be Editor and Janie Trumbull Copy Editor; they will be looking for additional help with the functions of layout and design previously carried by Josh Walker. Shannon, Janie and Lori are planning to meet with Josh for an overall orientation to his part.

Election of New Board Members: no new candidates volunteered or were nominated from the floor. Tommy introduced the three candidates in attendance this evening; they had each sent biographical statements in advance of meeting. A motion was made by Tommy, seconded by Bill, and passed unanimously to approve election of all three new officers. Shannon has agreed to Chair the Newsletter Committee, Kathy to Co-Chair the Events Committee, and Robin to become Membership Chair. Lori will continue on as Vice Chair and continue to do the Minutes until a replacement Secretary can be identified, currently a vacant officer position.

New Member Orientation: scheduled for Jan 7, 6-7:30pm in large Study Room on 2nd floor of Library presented by Janet Flowers: Lori-Anne and Tori will also plan to attend.

Wrap-Up Summary Comments: Tommy thanked the Board for all their efforts over the past year, and the Friends who attended this evening’s Annual Meeting. Lori echoed the same, adding the hope that 2015 will be a better year for the Board in terms of recruiting an active Membership Committee that will reach out to past and current members, and involve them in FOCPL activities.
