FRIENDS OF THE ORANGE COUNTY PUBLIC LIBRARY REGULAR MEETING MINUTES July 8, 2015 Submitted by: Shannon Turlington, Secretary Present: Marcia Cameron, Stacey Gamble, Tommy McNeill, Lori-Anne Shapiro, Shannon Turlington, Tori Williams Reid Ex officio: Andrea Tullos Absent: Robin Crawford, Mark Smith Call to order: 6:00p.m. by Tommy McNeill. Review of Agenda: no changes Review Minutes of May Meeting and Notes from June Special Planning Meeting: Lori moved to accept the minutes no changes; seconded; approved. Special planning meeting notes and calendar will also be added to the Minutes archive but do not require approval. Note that all minutes are now linked directly to the Friends website, rather than the Library website. Mark Smith’s Resignation and Board Absences: Mark resigned from the Board due to a job conflict. The Board will recognize former Board members Bill Barrows and Mark Smith at the annual meeting in December. Tori will act as interim treasurer until the Board vacancies are filled. Treasurer’s Report: tabled due to Mark’s absence. Book Consignment/On-going Sale Update: Marcia reported she will be receiving a report and check for the second quarter this month. The consignment representative took 11 boxes of books. Fall Book Sale: Stacey reported that the sale dates are set for September 18-20. Gloria Glenn will return to do a program on Saturday morning of the sale. Lori proposed author Joyce Allen to do also do a program; Stacey will contact her. The Friends will place an ad in the News of Orange to advertise the book sale and author appearances. Shannon will investigate ad rates; check the budget to see if advertising budget has been pre-approved. Staff Fest: The Board agreed to hold Staff Fest, a Library staff appreciation event, at Mystery Brew in Hillsborough, preferably on October 4 at 6:00 pm. The Friends will provide 2 drink tickets to staff; all Friends members, including the Carrboro Friends, will be invited to this event. Stacey proposed we hold a raffle at the event. Lori-Anne will be the Staff Fest point person and form a committee to organize the event. Annual Membership Meeting: The annual meeting is scheduled for December 5 at 10 am. The format will be an author brunch. Tommy proposed Howard Lee as the guest author. Other Events: The Spring book sale is scheduled for the last weekend in February. Stacey proposed author Jeremy Hawkins as a possible guest for a joint event to be held with the Carrboro Friends tentatively in March. The Friends will set up a table at Last Fridays in Hillsborough on July 31 and August 28 to help educate the public about our mission and recruit members. Tommy volunteered to set up and man the table. Lori reported that Molly Westmoreland from Center for the Book would like to do a presentation or training for the Friends Board. This was tentatively set for January in order to include any new Board members. Carrboro Friends Board will also be invited. OCPL News: Andrea shared the Library’s new logo and brochures. She reported that the dedication plaque has been installed in front of the Library. A volunteer is updating the paver location book. There are currently several staff openings at the Library. Website and Social Media Update: Shannon reported that the website has been updated with several articles and a one-page summary was sent to the membership via our Yahoo! group. Regular updates are being posted on the Friends Facebook and Twitter pages. Shannon is coordinating with Libbie Hough to share news and updates between the Friends and the Library. The new format has received positive feedback from the membership. Membership Report: Shannon reported that Libbie Hough drafted a letter to be sent to the membership. The purpose of the letter is to communicate upcoming events and solicit volunteers. The Board reviewed the letter and suggested changes. Shannon will send the final letter to Lori and Robin, who will send the letter to the membership via the FOCPL Gmail address and field responses. Secretary’s Report: nothing to report.
