Regular Meeting Minutes

February 9, 2016

Meeting Room, Orange County Public Library, Hillsborough

Present:

Board members: Lori-Anne Shapiro, Steve Smith, Susan Vreeland, Hollie White, Robin Crawford, Shannon Turlington, Stacey Gamble, Dee Love

Ex-officio: Lucinda Munger, Andrea Tullos

Guest: Amber Campbell

Absent: Marcia Cameron

Called to order at 6:00 p.m. by Lori-Anne Shapiro.

Agenda review: No changes.

Minutes review: Steve moved to approve the January minutes; seconded; approved unanimously.

Announcements: Drive-by drop box is open near the entrance to the parking garage.

The Friends are promoting voter registration and distributing voter information in conjunction with the Library and NAACP. NC Votes is in the lobby from 3:30-5 every Friday afternoon to help people register and answer questions about voter ID. Members are encouraged to volunteer as drivers to the polls.

Calendar review: No updates

Committee updates:

Finance committee: Steve distributed the financial statement for January.

The State Library returned the check for a $500 donation to the Friends of NC Public Libraries made in December. Steve will resend it to the organization directly, rather than the State Library.

The Finance committee has been working on the financial review and will submit a report with recommendations.

Steve distributed the record retention policy and suggested that the Board revisit it. The Bylaws committee will consider this policy and make a recommendation for incorporating it into the governing documents.

Spring Book Sale: Susan distributed a list of volunteers and will continue to recruit. Stacey requested that we purchase 10 advertising signs. Steve moved that we authorize funds for 10 signs; seconded; approved unanimously.

Andrea mentioned the need to finalize a date for the Fall Book Sale. Stacey will check potential dates.

Ongoing Book Sale: Tabled due to Marcia’s absence.

Bylaws: Hollie reported that Bylaws committee will meet on Monday. There are currently 6 volunteers for the committee.

Membership: Robin reported that $630 in new and renewed memberships were collected since the last meeting. The Membership committee has not met.

Antonia’s is sponsoring a 15% off night for members the Wednesday before the book sale; Robin will write a thank-you note and asks that everyone supports this venture (update moved from new business).

Website/Social media: Shannon requests that everyone post announcements to the Google Group or send them to her for posting. She proposes a meeting with Lori and Stacey to work out publicity procedures and needs before the next Board meeting.

Other committees: Lori would like to form a Last Fridays committee.

Library Director report/requests: Lucinda reported that work continues on evaluating the site on Greensboro St. in Carrboro for the Carrboro Library (update moved from old business). The town of Carrboro is doing a space needs assessment study and a parking study/traffic impact analysis. Lucinda asks that this Friends group support the Carrboro Friends group in any way we can.

Lucinda requested support for the Summer Reading Kickoff for a total of $1750 to support several activities. Other support will come from a gift from the Triangle Community Foundation and Library operating funds. The request includes for 6 volunteers. Steve moved that we fund this request; seconded; passed unanimously.

Amber requested funding of a pilot Books on Break program for New Hope Elementary school, in partnership with Book Harvest and Family Success Alliance, for a total of $5627.80. Steve moved for approval of this request as presented; seconded by Dee; passed with 6 in favor, 2 opposed.

New business: Lori moved to approve $90 for Last Friday vendor application fees; seconded; passed unanimously.

Visioning Workshop discussion tabled until a special meeting can be scheduled. Other agenda items tabled until March meeting.

Meeting adjourned at 7:55 p.m.

Next meeting is scheduled for March 9, 6:00 p.m.
