FOCPL Board Meeting

February 9, 2017

Harry Kavros, Chair, Presiding

117 East Queen Street, 6:30pm

1. Call to Order, 6:30pm (quorum is 6 members)

Present: Harry, Steve, James, Samantha, Susan, Shannon, Andrea, David

2. Approve Minutes of January 11, 2016: approved

3. Additions to Agenda: January Treasury Report, Library Vision Statement

4. Gift/Grant to Library: $1000 check for recovery from water damage, funds rasied through Go Fund Me.

5. Elect Officers:

VP: Steve elected

Treasurer: Susan elected. Steve promised support with financial and bank statements, reconciling the account and tax statements.

Secretary: Shannon elected

6. Elect Standing Committee Chairs:

Executive (president, vp, treasurer): Harry, Steve, Susan.

Governance: Steve elected. Roles: recruits board members, keeps reviewing important documents, auditing/monitoring of programs, oversees policies. Steve. Elected.

Finance (treasurer): Susan (with support from Steve)

Membership: Dee elected

Development:

Volunteers: David

7. Appoint non-standing committee chairs:

Book Sales: Stacey

Communications/Social Media: Shannon with Samantha, David

Special Events: David

Events: David with Harry

8. Two Financial Matters: Audit (Financial Review) and Budget

James will do financial review.

May is when the 990 is due.

James and Steve will arrange handoff of the binder.

Budget: last year we were approximately 15K in the red;

Each member should email budgetary expectations (in or outflow) by March 1.

Library will send estimated expectations for what they will ask for.

SIDEBAR: Visibility of organization: discussion of making placards to announce Friends Support around the library.

SIDEBAR: picking up earlier logo discussion: we’re not really looking at a redesign, but a making of variations with different groups mentioned in the text portion. Carrboro Friends will pay for the work.

SIDEBAR:

Book Sale: Date moved: Week of May 8-14 is the book sale.

Ongoing Book Sale: safe moved under the counter.

We are looking at beginning an Online Ongoing Book Sale.

Financial Report:

$42,194 in money market account

$3371 in checking

January activity: deposited $1586 (donations-go fund me, book sale) total: $1944; Checks cleared: $72

9. Metal name tags

Libby sent information about metal name tags with magnetic backing. We should get tags reading: President, Friends, Volunteer. Each should include our logo.

The board approved up to $400 for this.

10. Chamber of Commerce

Discussion: Should we join the Chamber of Commerce? The library is a member. Andrea says it’s good for connections. Bottom level is $200. David moved. James seconded. Passed. Membership will be pursued for our organization.

11. Library Update

Book Harvest. Library supports the transition of Book Harvest foray into Orange County at New Hope Elementary (a Title I school in Hillsborough). History: Friends was sole contributor last year $5600. The library brought it to the Friends last year to bring the program in partnering with the FSA (Family Success Alliance). The program gives 10 books each to Kindergartners and First Grader. This year, the program will be adding second graders to serve a total of 265 children with a gift of 10 books each.

$4000 has been raised through other means. $1600 still needed.

Motion: Library requests ongoing support to Book Harvest in the program that was begun last year. With one week to go, the library hopes the Friends will support $1600 of the $6000 needed.” (2 abstentions: Harry and Steve, unanimous approval).

Other updates:

Summer Learning and Partnership Grant expected in library requests.

Flood damage: HVAC system on roof, boiler piece in the back got three holes in it and water through ceiling. Some Spanish materials which were lost can no longer be purchased. Furniture needs replacing. Electrical closet was hit. Insurance is still in progress.

Library budget will be presented to county commissioner this week.
