October 16, 2025 MEETING MINUTES

1) CALL TO ORDER/ESTABLISH QUORUM – Meeting called to order at 7:02, quorum established. Present: Mark Alexander, Diane Decker, Grace Johnston, Diane Kelly, William McLean, Meg Stouffer, Laura Sumrell, Wendy Scott; Library Staff: Nancy Crews, Jody Smith; Member: Jane Gaede,

2) September Minutes approved.

3) TREASURER'S REPORT Total bank balance $42,944.88, up $5,607.54 since our last meeting. Cash in is $4,672.05 from the fall book sale, $495.00 in donations and memberships, $450.00 book sale start-up cash return, $174.50 from the ongoing book sale, $54.01 in interest, and $8.17 from online shirt sales. Cash out is $135.00 for book walk repair and $111.19 in processing fees. 4) MEMBERSHIP REPORT 152 active members. Since last meeting, 8 gifts totaling $230. 5) LIBRARY REPORT Nancy shared an Garden club is starting back up, Dig Deeper, on Oct 19; Local History Hour, Tuesdays 11-1; Guided Mindfulness Mediation grown, Next one is Oct 28 12-1; Youth services: Haunted Library Spooktacular Oct 30 4-5; Teenagers Autumn Leaf and Flower creation in November; Southern Branch: Horror Trivia Oct 22 6-7—adult event. 6) New Business We approved the lease for new water dispenser to be housed upstairs for staff and library members. The cost is 36 months at 125/month equalling $4660 for 3 years, plus $160 for installation. We approved $25 for plastic sign holder.

Story trail book dedication Oct 17 at 11:00 Efland Park

Sign ordinance: City has an ordinance that you can’t have more than 6 signs within the city limit. Banners are only allowed at the Welcome to Hillsborough sign. The town charges $20 for the sign placement. Diane Kelly will contact the city to inquire more about details and application process. Also we can place signs outside of town limits. We will look into a new banner that is sturdier, smaller, and has location of book sale on it. Fund staff appreciation year end gifts: We approved Weaver Street $15/per. Total $840 for 56 staff total. Prison Book Drive: for 8 books. We approved $250 for this.

7) BOOK SALE

Diane Decker discussed the book room. Nancy will ask 2 people to bring books to the room, rather than the entire staff. This will allow the room to be managed in a reasonable manner.

Dumpster issue. It appears a private citizen filled the dumpster preventing book disposal. Nancy sent a letter to janitor staff to deal with private dumping that happened. Discussion about the quality of donations received. Diane Kelly will look with State’s friends group for tips Melissa will generate a few ideas for signage to help this situation: Include Dates for upcoming sales

Diane Kelly will look for the receipt that the library uses for donations to bold the portion at the bottom which states what we want.

Bag day for the book sale

• Create parameter to make the size uniform to avoid inequity.

• Suggestion to establish a new policy using standard sized reusable grocery bags. Also look at refining pricing for bag day. • Discussion and agreement that logo/custom bags is a good idea. Diane Kelly will look into pricing this.
