Friends of the Orange County Public Library Executive Board Meeting, Nov~ 8, 2010 ,
Minutes' Approved 1-24-11
Present: Ann Burton, Susanne Vergara, Linda Schmitt, Sandy Gerstner, Janet Flowers, Bill Barrows, Andrea Tullos and Lucinda Munger Co-Chair, Janet Flowers, called the meeting to order at 4:00PM. Minutes fro1n the previous meeting · were approved . with corrections. Treasurer, Sandy Gerstner, gave the monthly financial report (attached to original minutes). Total checking balance == $24,557.03. Sandy and Janet then presented the budget for 2011. After discussion, the board voted to approve this proposed .budget (attached to original minutes). Sandy is pursuing the possibility of reclaiming state taxes paid on items purchased by Friends. Sandy, Janet and Ann are all authorized to sign checks although, to date, only Sandy has signed any checks issued. Andrea reported she had obtained a quote for permanent sign to hang above Friends On-going Book Sale. Board voted to move forward with purchase of this sign. Susanne Vergara gave the following nominating committee report: nominations to fill t;wo board positions are . Lori Graham a~d Erin Shepherd . . Vote will be taken on these nominations at December's annual meeting.
Ann Burton and Bill Barrows presented the revised bylaws. Suggestions were given for minor changes in this revision, which will also be voted on at annual meeting. Lucinda Munger suggested board consider holding quarterly meetings next year to include the entire me1nbership. It was further suggested that a monthly recap of executive board meetings be posted on Listserv as a 1neans of improving co1nmunication. Janet and Sandy presented a financial operations review with recornrnendations for 20 I I. Original attached. A vote of approval was given for these recommendations. Erin Shepherd will be the new membership chairman. She wi11 design a me1nbership drive program as well as a new brochure. Ann and Janet will work with Erin on this brochure. Consideration will be given to revising terms of membership renewals. Janet gave an update on Decetnber 4, 3:00PM, annual meeting. Lee Smith will be featured speaker. Jill McCorkle has a scheduling conflict ~nd will no longer be able to take part. At this annual meeting Janet will give a Friends high I ights report. A vote will be taken at that time on: new board members and bylaw revisions. A check for $20,000 will be presented to library director. "Book Lovers Calendars" wiJJ be sold for $7.00. "Purple Crow" bookstore will also be selling stocking stuffer items. It was noted that bookstore owner, Sharon Wheeler, will be making a generous donation of $200 to the Friends. Janet asked that minutes reflect the inclusion of a board vote regarding political activity by Friends board. In October a member of Orange County Board of Commissioners contacted Janet to ask that Friends use their Listserv to endorse the sales tax amendment. Board members voted to not support this political activity. Further discussion will be held and possible policy developed.
The endowment task force continues to make progress in establishing an endowment. Our organization is not large enough to establish a foundation. Task force will meet with Triangle Co1n1nunity Foundation to discuss possibilities. The Friends will co-sponsor a progra1n Wednesday, Nov. 10, at 5:00PM with children's author/artist, John Claude Bemis. Location is library meeting room. Janet announced that past program presenter, Susan So)ei1, is no longer in business. Person(s) who have books for rebinding with her co1npany are in the process of retrieving their books. This past weekend Janet attended the Friends of North Carolina Public Libraries annual meeting in High Point. She presented infonnation from this meeting and also stated she had won the door prize: a large Thanksgiving gift basket. This basket will be ''raffled" at circulation desk for $ I .00 tickets. Winning ticket will be drawn Tuesday, Nov. 23 . Further announcements: Ann will be increasing price of books in on-going book sale. Susanne announced that Judge Beverly Scarlett has agreed to speak at library during February's Black History month. Details to follow. Meeting adjourned at 5:30. Linda Schmitt Secretary
