Friends of the Orange County Public Library Executive Board Meeting, Oct. 11, 2010 Approved Nov. 8, 2010
Present: Ann Burton, Susanne Vergara, Linda Schmitt, Sandy Gerstner, Janet Flowers, Bill Barrows, Andrea Tullos
Co-Chair, Ann Burton, called the meeting to order at 4:00PM. Minutes from the previous meeting were approved.
Treasurer, Sandy Gerstner, gave the monthly financial report (attached to original minutes}. Total checking balance= $25,857.87. Sandy has combined the Roberts account and Idol account into one account with a current total balance of $10,074.57. Sandy and Janet Flowers presented the budget task group's proposed 2011 Budget. Board members are asked to review this proposal and vote at next meeting.
The board formally voted on approval to join the NC Center for Non-Profits with annual dues of $70.00.
Discussion was held regarding the Friends year end gift to the library which will be presented at Dec. annual meeting. This gift will be used for specific projects funded outside the operating budget provided by Orange County. Board voted to appropriate $20,000 for this gift.
Janet and Sandy gave a brief report from endowment task force which is at work to set up endowment originally funded by John and Marjorie Idol donation.
Susanne presented names of three possibilities for new board members. She will have final confirmation of availability from these people soon and vote for their approval will be taken at Dec. annual meeting. Susanne will send website link to these three people and will ask for their bios. Currently there are two board positions available; discussed was held as to feasibility of expanding board from seven members, as currently outlined in by-laws, to eight members. This will be decided at next meeting .
Erin Shepherd, Ann Burton and Bill Barrows are working on by- laws changes/additions and will have these finalized for a vote
at Dec. meeting.
New membership rules will take affect in January 2011: Individual dues will be increased to $15.00 to be more in line with neighboring Friends' groups. Family membership dues will remain at $25.00. Memberships will be renewable throughout : 6) the year rather than just in January. Members will be notified
when their membership is expiring.
Andrea asked board to consider providing a tree for holiday decorations at the library. Hillsborough Garden Club will decorate library will an all-inclusive theme for all holidays occurring near year's end. Andrea also reported that county commissioners are now in serious discussion regarding a new Southern Library branch (location, funding, etc.). She also stated that information regarding upcoming sales tax increase is available at front desk. Proceeds from such an increase would go to schools, libraries, economic development and emergency medical services.
Motion was made and approved to authorize Janet to spend up to $100 for refreshments for the annual meeting. Friends will be
invited as well as general public. Speakers will be local writers, Lee Smith and Jill Mccorkle .
Meeting was adjourned at 5:15.
