Friends of Orange County Public Library Executive Board Meeting, September 13, 2010
Present: Ann Burton, Bill Barrows, Janet Flowers, Sandy Gerstner, Lucinda Munger, Andrea Tullos, Susanne Vergara . Minutes frotn the August FOCPL Board meeting were presented and approved. Sandy Gerstner reported that our August book sale proceeds were $3001 .00. The book sale remainders went to Kiwanis, OCIM, Goodwill and a gentleman sending books to Nigeria. There were 35 volunteers working the book sale. At today's meeting we discussed suggestions for improvement for future book sales because this was our first book sale in the new library. Janet Flowers reported on the need for a Bylaws Group. Ann Burton made a motion, seconded by Bill Barrows, to have a Group review the by-laws. The motion passed. An Executive Board member will be in the Group and suggestions were made for other members. Janet Flowers proposed the following candidates for the Endowment Task Force: Laura Eastwood, Chris Kubica, Jim Burton, Sandy Gerstner. Ann Burton made a motion and Bill Barrows seconded it that the candidates mentioned above be appointed to the Endowment Task Force and the motion carried. This group's first report is due at our February meeting. Ann Burton moved that the Idol and Roberts accounts be combined and that we put $7000.00 into the Endowment Fund from our operating budget to bring the Endowment Fund total up to $10,000.00. The motions carried.
Janet Flowers will chair the Budget Review Task Group and Sandy Gerstner will serve as ex- officio. This Task Group will work on a budget for next year. They will review and possibly
update our financial processes using the 2009 Eileen Powell Financial Review Report as guidelines. Sandy Gerstner made a motion, seconded by Bill Barrows, to appoint the Budget Review Task Group to do the above mentioned tasks. The motion passed. The Budget Reivew Task Group will have a report ready by Nov. 8, 20 I 0. A Nominating Committee was formed today with the following members appointed from the Executive Board: Bill Barrows, Sandy Gerstner, and Susanne Vergara. Susanne agreed to be chair. The Nominating Committee will nominate two people to serve two-year terms as Executive Board members. Janet Flowers will e-mail the committee suggestions for nominees. Sandy Gerstner will send the committee membership lists.
Janet Flowers gave a Pavers update. Ed Flowers placed the paver order on Sept. 10, 2010 in Winston Salem. Anyone with questions about the pavers can e•mail: bricksforbooks@gmail.com. Ed is creating a map that will be available for people to find their
brick--s. Two copies of the map will be available. One copy will be filed in the library's local history collection. The other will be available at the ongoing book sale shelves. Susanne Vergara reported that everything was in place for the upcoming Oct. 2 program with Clay Carmichael. Janet Flowers reported that the Board needs to look at membership dues for 2011 and the Friends brochure; items that will be discuss at the next FOCPL meeting.
