Friends of the Orange County Public Library Executive Board Meeting - March 8, 2010

Present: Janet Flowers, Ann Burton, Linda Schmitt, Susanne Vergara, Sandy Gerstner and Bill Barrows

Co-Chair, Janet Flowers, called the meeting to order at 4:00PM.

Minutes from the February board meeting were approved. Treasurer, Sandy Gerstner, gave the monthly financial report ( original attached to minutes). Checking balance = $ I 4.076.31. Friends will have to file an IRS Form #990 this year due to amount earned in paver sales. Amount given to library director at time of opening ($20,000) has been used to purchase security system, teen center furnishings and photo exhibit.

Co-Chair, Ann Burton, presented an accounting of funding for public art project: Tourism Board Grant: $ 2,500

Ann presented the following guidelines for Friends funding requests:

I. With a written request and the approval of the Board, the FOCPL Funds can provide for the following:

Collection development Library equip1nent and furniture Library technology Library services Special library programs Staff development 2. Funds raised by the FOCPL cannot be designated for any use that does not benefit the OCPL and its patrons. 3. The Board of the Friends reserves the right to refuse gifts.

Board agreed to accept this policy. Janet gave an update on paver program. Brochures and business cards have been printed for program. Deadline for sales is July 1, 2010. Members of paver committee are Janet Flowers, Ann Burton, Annie O'Leary, Lisa Wolfe, Ed Flowers, Sandy Gerstner, and Barbara Null. Bartow Culp has volunteered to visit the businesses in downtown Hillsborough.

Susanne reported that plans are continuing for April 24, 3 :00PM literary event co-sponsored by the Friends, Eno River Publishing and Purple Crow books. Janet and Susanne will design a poster for the event. and will distribute copies around the area. Sound system will be borrowed from Arts Council.

Ann announced that on-going book sale is very successful! Books donated must be clean. Prices are:

DVDs, audio books $ I - $2 ***Exceptions 1nay be very expensive books (over $30.00) Ann also announced that endowment committee now consists of John Idol, Jim Burton and Bartow Culp. Janet sent membership renewal letters to 144 people. New memberships/renewals continue to be received. Janet also put forth a tentative calendar for the remainder of the year: April 11-17 National Library Week 24 Friends Literary Event July - Friends event (TBD) Sept. - Book sale with preview night for members only Oct. 12-23 National Friends Week Friends Event (TBD) Dec. - Annual Meeting Janet is in the process of organizing past Friends files since organization was formed in 1981.
