Friends of the Orange County Public Library Executive Board Meeting - Feb. 8, 2010

Meeting was called to order at 4:00PM by co-chair, Ann Burton. Present: Janet Flowers, Sandy Gerstner, Ann Burton, Linda Schmitt, Susanne Vergara, Bill Barrows and John Idol. Minutes for the Dec. 2009 Annual Meeting and January board meeting were approved with correction to Dec. minutes (spelling of ''Nerys" Levy) Sandy reported book sale results of $1,552.85. Add More Books of Roxboro will take the books remaining. Sandy also gave a detailed year-end financial report and presented a proposed budget for 2010. Reports attached to original minutes. Ann stressed that this year's report should be "transparent" with an exact accounting of monies spent. On-going book sale will begin next week. Location: bookshelves by new books just right of library entrance. Ann has sorted some of the donated books; Susanne will assist with further sorting. Newer books (published 2000-2010) will be offered for sale first at a price of $1.00 per paperback, $2.00 per _hardback unless more valuable. Susanne suggested a "white board" sign be placed in library entry to advertise on-going sale. Individuals may donate to this sale by bringing one box at a time to the library. John Idol and Jim Burton will work on expanding endowment begun by John and his wife, Marjorie. Susanne reported on a program to be presented to all Friends and public on Sat., April 24 at 3:00PM. Program will be sponsored by Eno Publishing and Purple Crow Bookstore and will focus on Eno Publishing's newest book of stories by local authors, "27 Views of Hillsborough". Michael Malone is one author already committed to the event. Several other authors will also be present at this program. The book will be for sale by Purple Crow with 15% of sales going to Friends. Publicity will be handled by Elizabeth Woodman of Eno Publishing. Friends will provide drinks. A very short business meeting will precede the program. Annie O'Leary has agreed to chair this year's paver sales which will last March I - July I with a fall installation date. Committee is designing a new brochure for this paver campaign. Volunteers are needed. Ann informed group that banner used for previous book sales is beyond repair. Future signage will be generic so as not to incur charges for date changes. Ed Flowers has written a policy for information/news to be posted on Listserv ( copy attached to original minutes). This policy was approved. Co-chairs of this board and the listserv manager are the only persons authorized to post messages to this list. Posts shall
be confined to information about the Friends, library events/programs and messages related to public libraries in general. Ann will post a message about on-going book sales. Janet will post announcement about a program to be sponsored by Hillsborough Garden Club on Thursday, Feb. 11 at 11 :00 on Tick Borne Infections at the library. A new membership brochure has been designed and is ready to be printed. Ann will check prices at Chapel Hill Printing for approx. 500 brochures. Janet will mail membership reminders to past members who have not yet renewed their yearly membership.
Ann presented a request from library director, Lucinda Munger, asking that Friends donate $200 to the Carrboro Community Dinner. After discussion , it was decided that the request did not meet our purpose as stated in our by-laws. Ann will present a policy statement for future use of funds at the March meeting. Linda reported that the Hillsborough Historic District Commission has approved a public art sculpture for the new library grounds. Wayne Trapp is the artist commissioned to create this sculpture and he will begin work immediately. Friends will need to send Mr. Trapp a check for $5,000 ($2500 from Hillsborough Tourism Grant; $2500 from Friends fundraising and donations). Meeting was adjourned at 5: 15.
